Notestone Reserve is a family-owned vacation rental property at 14580 Notestone Road, Laurelville, OH 43135. This policy explains what information we collect when you visit our website or stay with us, how we use it, and what we don’t do with it. We’ve kept it in plain English on purpose.

Information We Collect

When you book a stay or contact us, we collect what we need to host you:

• Booking details — your name, email address, phone number, mailing address, the dates and unit you booked, party size, and whether you’re bringing a dog.
• Payment information — handled entirely by our payment processors. Our website never sees or stores your card number.
• Renter Agreement — every reservation requires an electronically signed Renter Agreement. We keep signed copies as part of your booking record.
• Messages — emails, texts, and calls you send us, so we can actually help when something comes up.
• Email signup — if you join our email list, we collect the email address (and name, if provided) you enter in the signup form.

Bookings and Payments

Direct bookings on our website run through OwnerRez, third-party booking software with secure checkout. When you book, your information is processed under OwnerRez’s own privacy practices in addition to ours. If you book through Airbnb or Vrbo instead, those platforms collect and handle your information under their own privacy policies — we receive only what they pass along to hosts.

Email Marketing

Our email signup form is powered by LeadConnector, an email marketing platform. If you sign up, we’ll send occasional emails about availability, seasonal ideas, and offers — including the 10% discount on your first direct booking (2-night minimum). We don’t spam, and every email includes an unsubscribe link. Click it once and you’re off the list.

Cookies and Analytics

Like most websites, ours uses cookies — small files your browser stores — to make the site work and to help us understand how visitors use it. Specifically:

• Google Analytics tells us things like which pages get visited and roughly where visitors come from. It doesn’t tell us who you are personally.
• Google Search Console shows us how people find the site through search.
• Meta Pixel and Google Ads help us see which ads led to a visit or a booking, and let us show our ads to people who’ve already looked at the site. They may collect things like pages viewed and actions taken (for example, starting a booking) — not your name or contact details directly.
  You can opt out of this kind of ad tracking through Meta’s ad preferences or Google’s Ad Settings, or by blocking or deleting cookies in your browser settings. The site will still work either way; some features may be less smooth.

Security Cameras on the Property

We disclose this before booking and repeat it here: for guest safety, there is a Eufy doorbell camera next to the front door of each unit, and one camera in the community game room. There are no cameras inside any unit, and none pointed at hot tubs or private outdoor spaces. The cameras are not actively monitored, but footage may be reviewed if needed — for example, after a security or property-damage incident. Footage is not shared except with law enforcement when legally required, or with our insurer in connection with a claim.

How We Share Information

We share your information only with the service providers who help us run the business:

• OwnerRez — booking, payments, and guest communication
• Our email platform (GoHighLevel) — the email list, if you’ve joined it
• Google — anonymized website analytics

We never sell your information. Not to marketers, not to data brokers, not to anyone. We may disclose information if the law requires it (a valid subpoena, for example) or to protect the safety of our guests and property.

How Long We Keep It

We keep booking records, signed Renter Agreements, and payment records for as long as we reasonably need them for tax, accounting, insurance, and legal purposes — generally [CONFIRM: retention period — 7 years is a common standard for business/tax records; confirm with your accountant or attorney]. Email list data is kept until you unsubscribe. Camera footage is retained only briefly under the camera system’s normal storage cycle unless we need to preserve a specific clip for an incident.

Your Choices and Rights

You can:

• Unsubscribe from marketing emails at any time (link in every email)
• Ask us what information we have about you
• Ask us to correct or delete your information, and we will — except records we’re legally required to keep

Security

Payments go through secure, encrypted checkout handled by our payment processors. We limit access to guest information to the people who need it to run the business. No system is perfectly secure, but we treat your information the way we’d want ours treated.

Children’s Privacy

Our website and booking services are intended for adults. We don’t knowingly collect personal information from children under 13. Kids are welcome at the property — their parents just handle the booking.

Changes to This Policy

If we change how we handle your information, we’ll update this page and the “Last updated” date at the top. Significant changes affecting existing guests will be communicated by email.
